Invoicing

Invoice Management enables Business and Family tier users (and legacy Pro accounts) to create professional invoices with line items, tax, notes, and terms. Track invoices through a full status workflow and download branded PDFs.

• Select or create a customer from your directory.
• Add line items with description, quantity, and unit price.
• Optionally add tax rate, notes, and payment terms.
• Save as Draft or submit immediately.

Invoices follow a strict progression. Invalid transitions are rejected by the API.

• Draft → Sent → Under Review → Approved → Completed
• Once a payment is received online, the invoice moves to Paid automatically.
• If the customer requests edits, status becomes Changes Requested — update and resubmit.
• At any stage before Completed: can be moved to Cancelled.

Once an invoice has been sent to a customer, you can generate a secure payment link directly from the invoice detail page.

• Generate Payment Link — Click the button in the Online Payment card on any sent invoice. A secure, unique link is created and stored on the invoice.
• Share the link — Copy the link and send it to your customer via email, text, or any messaging app. The customer does not need an account of any kind.
• Customer pays — Your customer opens the link in any browser and pays by card. The transaction is fully encrypted.
• Automatic status update — When payment is confirmed, the invoice status updates to Paid and you receive an email notification immediately.
• Regenerate — If a link expires or you need a fresh one, click “Regenerate link” at any time before the invoice is paid.

The payment link is also surfaced on the customer's invoice review page as a prominent Pay Now button, so customers can pay directly without any extra steps.

• Online Payment Links — Let customers pay securely by card with a single click.
• Business Logo — Upload and crop a logo that appears on invoices, estimates, and customer emails.

• Dashboard Widget — Outstanding invoice summary on the main dashboard.
